Customer information was scattered across multiple platforms including their ERP system, SANA e-commerce solution, and various email marketing tools. This fragmentation made it impossible to maintain accurate, up-to-date customer records and hindered effective customer relationship management.

Without established protocols for data management, information quality deteriorated over time. Duplicate records, outdated contact details, and inconsistent formatting created inefficiencies that consumed valuable time and resources across their commercial teams.

This revealed that customer data resided primarily in Microsoft Business Central and SANA e-commerce, requiring systematic consolidation before any integration could proceed.

 

2. Strategic Data Migration and Integration Setup

We established custom field mappings between Microsoft Business Central and HubSpot, created necessary custom properties, and configured dropdown values with matching internal names. The integration was thoroughly tested in a dedicated test portal before production deployment to ensure data accuracy and system reliability.

3. Advanced Integration Architecture Implementation

Since HubSpot's standard data sync only supported contact integration, we implemented specialized tools to connect Microsoft Business Central customers with HubSpot companies. We configured uni-directional company integration from Business Central to HubSpot while making HubSpot the master system for contact management.

We created custom CRM cards for customer creation and quote generation, replacing the previous standalone webpage with an integrated solution. Sales teams received comprehensive training on new processes, and we established ongoing support systems to ensure sustained adoption and success.

The customer creation card eliminated the previous standalone webpage process that generated duplicate and incomplete data. Now, sales users can trigger customer creation directly from HubSpot, with known properties pre-filled and mandatory fields clearly identified, ensuring complete and accurate data collection.

  1. Automated Data Pre-population: Known HubSpot properties automatically populate, reducing manual entry and eliminating transcription errors.
  2. Seamless Quote Generation: Sales teams can create quotes directly through HubSpot while leveraging SANA's advanced product configurator capabilities.
  3. Validation Workflow Integration: New customers are created as temporary records in Microsoft Business Central, converting to permanent status only after validation, ensuring data quality and approval processes.

These custom solutions enabled Vincent Sheppard to maintain their sophisticated product configuration capabilities while dramatically reducing administrative overhead and improving data accuracy across their commercial operations.
